The Senior Order Management Administrator is responsible for overseeing the set up and maintenance of client projects in ACA’s client relationship management and accounting system to ensure client projects are accurately set up in a timely manner and are prepared to be handed off to the billing team. In addition, this role also assists with contract terminations and renewals.
What you’ll do:
- Analyze executed client contracts to confirm scope, pricing, billing terms, and project structure; then set up new client projects in ACA’s client relationship management (PSA) and accounting systems with complete and accurate setup details.
- Ensure related contract records are maintained in ACA’s systems; confirming that each executed agreement is properly associated to the correct opportunity and project to support reporting, and billing accuracy.
- Process contract amendments and renewals by validating changes to products, scope, pricing, and billing requirements; update existing projects accordingly, and notify impacted teams so downstream activities (delivery, invoicing, and reporting) remain aligned to the latest contract terms.
- Ensure project and contract data integrity by following established procedures, meeting turnaround expectations, reconciling discrepancies across systems, and escalating exceptions (e.g., missing documentation, unclear terms, system errors) to the appropriate stakeholders for resolution.
- Oversee the set-up of annual recurring (auto-renewable) services and subscription products in billing systems to ensure consistent and accurate billing for each annual term.
- Provide operational support to the Order Management and Finance teams through ad hoc reporting, special projects (e.g., process documentation, control improvements, and system clean-up activities) to improve the accuracy and efficiency of contract-to-project setup and maintenance
To Qualify for the role, you will have:
- Bachelor’s degree in business or finance OR 10+ years of contract setup/order management
- Minimum of three (5) years of related experience, preferably in a professional services firm
Ideally, you’ll also have:
- Experience with Salesforce.com is a plus
- Experience working in a contract setup/order management
